Refund, Cancellation & Dispute Policy

Policy Overview
GigiPod LLC is committed to ensuring customer satisfaction. This policy outlines our procedures for refunds, cancellations, and dispute resolution for our IT consultancy services and software development projects.
1. Refund Policy
IT Consultancy Services
- Pre-project phase: Full refund available if cancellation is made before project commencement.
- During project: Partial refunds may be provided on a pro-rata basis for work not yet completed, minus any costs already incurred.
- Completed work: No refunds are available for work that has been completed and delivered as per the agreed specifications.
Software Development Projects
- Milestone-based projects: Refunds are calculated based on milestones not yet delivered. Completed milestones are non-refundable.
- Custom development: Due to the bespoke nature of custom software, refunds are evaluated on a case-by-case basis.
- Licensing fees: Third-party licensing fees are non-refundable once purchased.

2. Cancellation Policy
How to Cancel
To cancel a service or project, please contact us via email at hello@gigipod.com with your project details and reason for cancellation.
Cancellation Terms
- Notice period: We require at least 14 days written notice for project cancellations.
- Early cancellation: Cancellations made within the first 7 days of project kickoff may be eligible for a full refund, minus any work already completed.
- Mid-project cancellation: You will be billed for all work completed up to the cancellation date, plus any non-recoverable costs incurred on your behalf.
- Ongoing retainer services: Monthly retainer services can be cancelled with 30 days notice. The current billing period is non-refundable.
Cancellation by GigiPod
We reserve the right to cancel or suspend services in cases of:
- Non-payment or repeated late payments
- Breach of our Terms of Service
- Requests that violate applicable laws or regulations
- Abusive or threatening behavior towards our team
In such cases, you will be refunded for any undelivered work, minus costs already incurred.
3. Dispute Resolution
We are committed to resolving any disputes fairly and promptly. If you have a concern about our services, please follow the process below:
Step 1: Direct Communication
Contact us directly at hello@gigipod.com with a detailed description of your concern. We aim to respond within 2 business days.
Step 2: Formal Review
If initial communication does not resolve the issue, you may request a formal review. We will:
- Acknowledge your formal complaint within 3 business days
- Conduct an internal review of the matter
- Provide a written response within 14 business days
Step 3: Mediation
If the dispute remains unresolved, both parties may agree to engage a neutral third-party mediator. The cost of mediation will be shared equally unless otherwise agreed.
Step 4: Legal Proceedings
As a last resort, disputes may be resolved through legal proceedings. Any legal action shall be governed by the laws of the State of Wyoming, United States.
Payment Disputes
If you believe you have been charged incorrectly:
- Contact us within 30 days of the charge
- Provide transaction details and the nature of the dispute
- We will investigate and respond within 10 business days
- Valid disputes will result in a refund or credit within 5-10 business days
4. Refund Processing
- Processing time: Approved refunds are processed within 5-10 business days.
- Payment method: Refunds will be issued to the original payment method used for the transaction.
- Currency: Refunds are issued in the same currency as the original payment.
- Bank processing: Additional time (3-5 business days) may be required for the refund to appear in your account, depending on your financial institution.
